Salary Range: $41,496.00 - $68,473.60 (Hiring rate is commensurate on qualifications & experience)

Work Schedule: Monday - Friday 8:00AM - 5:00 PM

Summary

Responsible for a broad variety of administrative, clerical, and office management duties supporting the operations of the Public Works department.

Essential Duties and Responsibilities

NOTE: Employee may be required to respond to a disaster, either natural or man-made, to serve the citizens of Statesville. Service to the citizens during a disaster may result in the assignment of other duties, which will take precedence over duties described in this job description. This job description is not intended to be all-inclusive. Employees may perform other related duties as needed to meet the needs of the organization.

  • Processes requisitions, tracks and documents expenditures and communications for department operations and construction projects, and other major city construction projects as assigned.
  • Reviews and checks records, forms and other documents for accuracy, completeness and conformance to rules and regulations.
  • Coordinates retirement celebrations, orders supply and distributes information to the division heads.
  • Updates/adds information to records, contract agreements, invoices, and employee schedules.
  • Arranges meetings, appointments, and schedules travel for department administrative personnel.
  • Handles payroll, maintains personnel files, and departmental records.
  • Explains departmental and city policies and procedures for employees and the public.
  • Operates a variety of office equipment and assists in the development of office procedures.
  • Responsible for Bank of America input and approvals for Engineering, backup Public Works.
  • Completes in office driveway permits.
  • Post mail and deliver to the Post Office at the end of workdays.
  • Payroll backup for Stormwater.
  • Performs other duties as assigned.

Minimum Education and/or Experience

  • High School diploma or GED
  • Two (2) years’ experience in office administration.

  Requirements

  • Possession of a valid N.C. driver’s license or ability to obtain within 60 days of establishing a permanent residence in North Carolina.

Knowledge, Skills, and Abilities

  • Thorough knowledge of standard office practices, procedures, equipment, and techniques.
  • Ability to arrange and place records, reports, and files into a proper sequence.
  • Ability to use Microsoft Office, Excel, and Word proficiently and effectively.
  • Ability to operate a variety of office machines such as a computer, typewriter, fax, and copier.
  • Ability to communicate ideas clearly, concisely, and effectively, both orally and in writing.
  • Ability to establish and maintain effective working relationships with colleagues, other departments, supervisors, and the public.
  • Excellent organizational, problem-solving, and planning skills.

Job Related Physical Activity Requirements

This position involves light work requiring the exertion of 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects. Physical activity related to this position may require the use of fingers and hands, climbing, balancing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions; vocal communication is required to express thoughts and exchange information; hearing is required to respond to spoken words, to receive and understand information, and/or to make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, operation of equipment, determining the accuracy and thoroughness of work, and observing general surroundings and activities.
